Privacy Policy

We collect the email address you use to authenticate, the PDF files you upload (processed and then deleted per your retention policy), the identity profile data you enter (encrypted at rest), and basic usage analytics.

When you subscribe to a paid plan, our payment processor Polar collects billing details such as cardholder name, billing address, country, tax identifiers, and the last four digits of your card. We never see or store your full card number.

We use your information solely to provide the FillWizard service: processing PDFs, autofilling forms, and storing your identity profiles.

We do not sell your data, share it with advertisers, or use it for AI model training.

All sensitive profile fields are encrypted at rest using AES-256. PDF files are stored in encrypted object storage and accessed via short-lived signed URLs. All connections use TLS 1.3.

We share data only with the sub-processors required to deliver the service:

OCR provider (Google Document AI) — only the rendered page images of uploaded PDFs, never your identity profile data.

Payment processor and merchant of record (Polar Software Inc.) — billing details, country, email, and product slug for paid subscriptions. Polar collects, processes, and remits applicable VAT and sales tax on our behalf.

Hosting and storage providers under standard data processing agreements.

Original PDFs are deleted after your configured retention period (default 7 days on Free, configurable on Pro and Teams). Export PDFs are available for 7 days after generation. Profile data is retained until you delete your account.

Billing records (invoices, transaction IDs) are retained for as long as required by tax and accounting law in the jurisdictions where you and Polar operate.

You have the right to access your data, correct inaccuracies, delete your account, and export your profile data. Email privacy@fillwizard.com to exercise any of these rights.

We use session cookies for authentication and a locale cookie to remember your language preference. We do not use advertising or cross-site tracking cookies.

FillWizard is operated globally. By using the service you consent to the transfer of your data to the regions where our infrastructure and sub-processors operate, subject to appropriate safeguards.
